What is a wedding coordinator? Is that the same thing as a wedding planner?

Even though the terms wedding coordinator and wedding planner are often used interchangeably, these wedding professionals are very different, both in terms of their cost and their responsibilities.

A wedding planner is a professional who assists with the planning, design, and management of a wedding. They source your vendors, create and manage your budget, and plan design elements. They are on a longer timeline, assisting you with all the tasks that come with planning a wedding as well as executing your plans on the wedding day.

A wedding coordinator is an individual who is focused on the coordination of the logistics of a wedding, rather than the planning. With a wedding coordinator, you would be in charge of planning your wedding, but your coordinator would be in charge of implementing and overseeing the plans you and your partner have made. Wedding coordinators are on a shorter timeline, stepping in closer to your wedding day to ensure all the logistics are organized and the details are executed on the wedding day.

My venue provides a coordinator. Should I still hire a wedding coordinator?

YES! Unlike venue coordinators, who work for the venue, wedding coordinators work for you, the couple. It is SO beneficial to have both a venue coordinator as well as a wedding coordinator for your wedding day.

A venue coordinator primarily focuses on managing the venue itself. They will coordinate the venue staff, set up tables and chairs, and take on any responsibilities that ensure everything from a venue management standpoint is in working order.

A wedding coordinator focuses on your needs as a couple. They begin working with you prior to the wedding day to capture your vision, create a detailed timeline, and coordinate logistics between all of your vendors to ensure everyone is on the same page. On the day of the wedding, they oversee setup, line up and cue the ceremony processional, manage vendors, handle any unforeseen issues that may arise, and keep everything on schedule, allowing you and your loved ones to focus on enjoying your day.

Our wedding coordinators work alongside your venue coordinator to ensure everything behind the scenes is running smoothly. We become a powerful team that supports one another to make the day a success!

**It is important to note that some venues offer in-house, day-of coordination services or a maitre’d. It is essential to clarify the extent of their services to ensure you have the support you need and expect on your big day!**

How did you get into wedding coordinating?

I have always loved event planning. I was the girl who made minute by minute itineraries for every family vacation and the bride who had a binder with color coded tabs and an answer to every possible scenario that could occur.

On my wedding day, I casually mentioned to the venue owner I would love to become a coordinator there if they ever needed one. The next week, she called me and told me they had a position available and it was mine if I wanted it. The rest is history!

How long have you been a wedding coordinator?

I am going into my third year as a wedding coordinator. I have worked with over 50 incredible couples over the past few years, and I can’t wait to continue serving more couples and bringing their wedding vision to life!

What is your favorite part of a wedding day?

There are so many magical moments on a wedding day, but I am a sucker for the father daughter dance.

When will services begin after I sign my contract?

Our wedding coordinating services begin 6 to 12 weeks before your wedding day, and our decor consultation services begin 6 weeks before your wedding day. However, your wedding coordinator will be available to you during the planning process to answer any questions you may have along the way.

Absolutely! Even though our official coordinating services don’t begin until 6 to 12 weeks before your wedding, your wedding coordinator will be available to you during the planning process to answer any questions you may have along the way. We know how overwhelming wedding planning can be, and we want to be a resource to you as you plan to help you navigate everything and ensure you feel confident in your research and decisions.

When should I hire a wedding coordinator?

The earlier the better! It is never too early to book our services. We start working with you right away to provide support, guidance and advice throughout the planning process.

Will my wedding coordinator have an assistant?

It all depends on your guest count! All packages are priced for 139 guests or less and include one wedding coordinator. A wedding assistant is required for any event with 140 guests or more and will be added to your package at an additional cost.

Do you work more than one wedding in a weekend?

No, I don’t take on more than one wedding in a weekend. This allows me to focus on you, not another couple, in the days leading up to your special day.

Do you charge for travel?

Travel fees may apply and are determined by where your wedding will take place. Any travel fees that may apply to your event will be disclosed in your proposal and contract.
